"PTF"

Statement of Purpose

To provide a structure in which parents and staff can work together to:

  • Achieve the mission and vision of Cape Christian Academy
  • Build the morale of the school, students, staff, and the Board of Directors 
  • Fellowship together
  • Communicate with and encourage one another

Objectives
1. To acquaint parents with Cape Christian Academy and Christian education in general.
2. To provide an opportunity for the parents to serve in the school through leadership, participation, prayer, and encouragement of one another.
3. To provide our children with a wide variety of opportunities and activities that are Christ-centered and enhance their Christian Education.
4. To raise funds to provide our school with non-budgeted necessities.
5. To create an atmosphere of interest and unity in our school's goals and purposes.
3. Enrich our students spiritually, academically, and socially.
4. To develop Christ-like, caring attitudes in our fellowship.

Parents and teachers are encouraged to attend
all monthly meetings and functions of the PTF.


Requirements and responsibilities of the officers:

1. Must be a born again Christian, agree with the school's Statement of Faith, and be
of good moral character.
2. Must be responsible for keeping matters confidential.
3. Must attend a minimum of 3 monthly meetings within the past 12 months to be
nominated to any position. Requests for exemptions to this requirement must be
submitted in writing to the PTF President and approved by the current PTF
executive committee.
4. All officers of the PTF executive committee are expected to attend all PTF
monthly meetings, as well as fundraising events and activities. If an officer is
unable to attend any PTF function, he/she must notify the PTF President one week
prior to the scheduled function or meeting, except for providential hindrances, and
arrange for his/her own replacement.
5. All officers of the PTF executive committee are expected to review and agree to
perform all responsibilities outlined for that specific office prior to nomination.
6. All officers of the PTF executive committee must complete an application form
upon being nominated for any position. The application forms will be received
for acceptance by the current PTF executive committee and the Principal. The
PTF executive committee will approve the nominees based on the application and
recommend their choice to the general membership for an election.
Note: The following abbreviations will be used throughout the remainder of this
document. PTF executive committee = PTF EC; School Board of Directors = SBD;

Individual responsibilities of each officer:

PRESIDENT

1. Is responsible to the SBD for the operation of the PTF. Will report to an
assigned member of the SBD on a monthly basis. May attend school board
meeting as a non-voting member and present any pertinent PTF information.
2. Presides at all PTF meetings. If unable to attend, must notify the PTF Vice
President one week prior to the meeting except for providential hindrances and
arrange for the PTF Vice President to preside at the meeting as his/her
replacement.
3. Prepares and provides all PTF EC members with a meeting agenda prior
to each meeting.
4. Organizes the schedule for all PTF meetings and functions.
5. Conducts elections according to guidelines previously set forth.
6. Oversees and is responsible for the function of all PTF officers.
7. Is a voting member of the PTF EC.
8. May submit any PTF correspondence for parents to the PTF secretary for typing.
9. Submits all PTF correspondence for parents to the Principal for approval and
distributes approved correspondence to the students.
10. Coordinates and discusses all PTF activity with the Principal, seeking Principal
approval when necessary.
11. Shall keep an ongoing file of accurate details pertaining to all aspects of this
position and pass the file on to the next PTF President.

VICE PRESIDENT

1. Is responsible to and reports directly to the PTF President.
2. Is a voting member of the PTF EC.
3. Attends all PTF meetings and functions. If unable to attend, must notify the PTF
President one week prior to the meeting except for providential hindrances and
arrange for his/her own replacement.
4. Assumes all duties and responsibilities so named under the PTF President when
the PTF President is absent or the position is vacant.
5. Assists the PTF President in overseeing all PTF duties assigned by the PTF President and reports such to the PTF President.
6. Assists in implementing the program content for all PTF functions and meetings.
7. Assists the PTF President in preparing meeting agendas.
8. May submit any PTF correspondence for parents to the PTF secretary for typing.
9. Submits all PTF correspondence for parents to the PTF President and Principal for
approval and distributes approved correspondence to the students.
10. Oversees all aspects of PTF fundraising.
11. Shall keep an ongoing file of accurate details pertaining to all aspects of this
position and pass the file on to the next PTF Vice President.
12. Performs any other duties assigned by the PTF President.

SECRETARY

1. Is responsible to and reports directly to the PTF President.
2. Is a voting member of the PTF EC.
3. Attends all PTF meetings and functions. If unable to attend, must notify the PTF
President one week prior to the meeting, except for providential hindrances, and
arrange for his/her own replacement.
4. Records and types the PTF meeting minutes.  Gives a copy of the minutes to the PTF President each month before the next meeting.
5. Keeps a record of attendance at all PTF meetings.
6. Types PTF correspondence as requested, such as announcements, PTF newsletters, activity sign-ups and parent letters, etc.
7. Submits all PTF correspondence for parents to the PTF President and Principal for
approval and distributes approved correspondence to the students.
8. Shall keep an ongoing file of accurate details pertaining to all aspects of this
position and pass the file on to the next PTF Secretary.
9. Performs any other duties assigned by the PTF President.

TREASURER

1. Is responsible to and reports directly to the PTF President.
2. Is a voting member of the PTF EC.
3. Attends all PTF meetings and functions. If unable to attend, must notify the PTF
President one week prior to the meeting, except for providential hindrances, and
arrange for his/her own replacement.
4. Conducts all PTF financial transactions with the approval of the PTF President.
5. Keeps the PTF checking account balanced and in order.
6. Reconciles the petty cash to the designated amount at least once per month.
Responsible for the petty cash ledger.
7. Provides the PTF President and the Director of Operations a detailed financial report showing all receipts and expenditures one week prior to each PTF monthly meeting.
8. Provides a verbal or written financial report to the general membership at all PTF
meetings.
9. Checks with the school secretary at least once per week to obtain any incoming
money. Responsible for money collected for PTF fundraisers, activities, or love
offerings. Makes deposits into the PTF checking account.
10. Responsible for making timely payments to vendors for services rendered within
30 days.
11. Responsible for reimbursing a PTF CM through a purchase order or petty cash.
12. Prepares and submits a projected budget to the SBD each year in October and a
yearly financial report to the SBD each year in June.
13. May submit any PTF correspondence for parents to the PTF secretary for typing.
14. Submits all PTF correspondence for parents to the PTF President and Principal for
approval and distributes approved correspondence to the students.
15. Follows all guidelines as stated in the PTF by-laws, Finances.
16. Shall keep an ongoing file of accurate details pertaining to all aspects of this
position and pass the file on to the next PTF Treasurer.
17. Performs any other duties assigned by the PTF President.
